Send a program to a client who hasn't created their account yet

You've just invited a client and you want to build their program now, without waiting for them to download Gymkee. You can. Build it, send it, and they'll find it in Gymkee the moment they create their account.

How to do it

  1. Open the program you want to send.
  2. Click Send the program to a client.
  3. In the window that opens, go to the Invitations tab.
  4. Tick the client, then click Send.

The Invitations tab holds only the people you've invited who haven't created an account yet. Your active clients stay in the Clients tab, as always.

What happens next

Your program is set aside for that client. It doesn't go out immediately, because there's no account yet to receive it.

Your client gets an email telling them you've sent them something, along with the exact email address they need to sign up with. If they use a different one, their content won't follow them, that's the most common mistake.

The moment they create their account with that address, the program appears in Gymkee on its own. There's nothing for you to redo.

When does the program start?

The Monday after they sign up.

A program is written in weeks. If your client signs up on a Thursday and the program started that same day, their week 1 would only last three days and every week after that would sit across two of yours. Starting on Monday keeps their weeks and your weeks the same weeks. A client who signs up on a Monday starts that day.

If you set a start date in the future, that date is kept: you meant it, and your client signing up doesn't change the plan.

Seeing what's waiting for each person

Go to Clients, then the Invitations tab. The Waiting column tells you how many pieces of content are waiting for each person. Hover the number to see which ones.

Worth knowing

  • You can send a training program or a nutrition program.
  • You can send several things to the same person. They only get one email a day, not one per send.
  • If you cancel the invitation, whatever was set aside is cancelled too.
  • Until your client has an account they won't appear in your other lists (their assessments, their stats, their profile). They exist only in the Invitations tab.

My client says they got nothing

In order:

  1. Check the email address. It has to be exactly the one on the invitation. A different address at signup leaves the content waiting on the old invitation.
  2. Ask them to check their spam. The email comes from dwayne@gymkee.com.
  3. Check they actually created an account, not just downloaded Gymkee. An invitation doesn't create the account: they sign up themselves, with the address you used.

If all of that checks out and the content still hasn't arrived, message us from the chat inside Gymkee, we can see what's waiting for them on our side.
